1. Executive Summary

This deliverable describes and documents the work done in Task 2.3 Preprint Servers. The aim of this task is to adapt the original preprint data from CWI, MDC and SUB through conversion to the common EULER format. The thus produced preprint databases are accessible through the common EULER gateway and the full texts are online down-loadable or can be ordered as electronic files through document delivery (SUB).

2. Introduction

This chapter describes the work done by CWI, MDC and SUB, the partners in Task 2.3 Preprint Servers of the EULER project. As outlined elsewhere and in the General Introduction, one of the sub goals of the project is the adaptation of the data of different resources. This adaptation is necessary in order to achieve the EULER Project's main goal of a "one-stop-shopping site". Different data from different resources need to be matched into a common format; the EULER format, largely based on the Dublin Core (DC) element set.
To facilitate this mapping into the common format, the original data from the preprint data providers (CWI, MDC and SUB) needed to be adapted, i.e. converted from their original formats to the common EULER format. Subsequently, the converted data needed to be loaded into the distributed Z39.50 based Zebra server, thus enabling the EULER engine to query the data.
In this task, MDC has been acting as a co-ordinator for the adaptation of data from the mathematics libraries of Strasbourg and Orsay.

All partners of the preprint task contributed to the text of this deliverable. CWI did the final editing.

The deliverable is both an outline description of the work done in the preprint data adaptation task and a guideline for the purpose of future partners. It is not intended to be a detailed manual. E.g. for detailed instructions to set up a Zebra server one should be referred to the Zebra related documentation.
 

3. Description of the Preprint Servers

3.1 CWI

CWI is the national research institute for mathematics and computer science in the Netherlands. As a result of its research mission, the scientists of the institute make their scientific results public through articles, books and preprints or research reports.
The preprints and research reports are made available by the institute as paper copy and since some 10 years ago also as since  electronic files. (see http://www.cwi.nl/static/publications/reports/reports.html ).
Some of these research reports are actually preprints, i.e. these publications will be published outside the "grey literature" domain at some later stage. The remaining part constitute genuine reports and are final "grey" publications in itself.
CWI makes no distinction between the categories "preprint" and "research report' in the handling of the electronic access. Therefore the CWI preprint server actually is a preprint and research report server, henceforth to be referred to as preprint server.
The preprints are being published in 4 series since 1997:

- Probability, Networks and Algorithms

- Software Engineering

- Modelling, Analysis and Simulation

- Information Systems

covering all research areas of (applied) mathematics and computer science.

Before 1997 the online preprints were being published in 4 series as well:

- Numerical Mathematics

- Computer Science

- Operations Research, Statistics, and System Theory

- Analysis, Algebra, and Geometry

The CWI preprints are available online since 1989. The files were being submitted by the CWI scientists to a ftp server on a voluntary basis till 1995. As of 1995 the preprints are being submitted by the CWI Publication Dept. as part of a quality assurance and clearing procedure related to the production of paper based preprints.

The preprint files are held on the ftp server as a compressed Postscript file e.g.:

As a consequence of the voluntary aspect, the online available CWI preprints do not entirely match the actual preprints and reports production from 1989 - 1994. In that period not every CWI scientist cared to put their preprints to the CWI ftp server.

Due to a CWI standardization requirement all electronic preprints are currently being made available as Postscript files although of roughly half of them (mostly mathematics) there exist LaTeX files as well. Momentarily standardization of the files to PDF is under consideration.

Approximately 150 preprint titles are being published annually by CWI.

Searching the EULER system the end user has to bear in mind that bibliographic information of the preprints is duplicated although some slight differences exist. The paper copy versions of the CWI preprints are being catalogued by the CWI library and consequently records appear both in the CWI online public access catalogue and in the CWI preprint server. One has to bear in mind also, that bibliographic information may appear in other EULER resources as well. E.g. Zentralblatt receives paper copies of the CWI preprints on a regular basis and consequently resource information may appear in their files.
 

3.2 MDC

MDC is a national team devoted to co-ordination of mathematical documentation in France.  MDC does not, as such, produce scientific documentation of its own, however, it co-ordinates many national projects, one of which is the French national mathematical grey literature project.

As elsewhere, French mathematicians make their scientific results public through articles, books and preprints.
The preprints  are generally made available by the institutes as paper copies and have also been available on the Internet for a few years in electronic form. (usually PostScript or DVI files, sometimes compressed).

However, each institution was, up till 1998, totally free to put online in any way its grey literature.

In 1997, MDC initiated the French online grey literature project (sometimes known as "math-prepub"). The idea was to gather metadata for mathematical grey literature into one national index. The option chosen was (as in the German MathNet project) to make available on department servers, for each online full text file, a "shadow" file written in html, containing pertinent metadata about the document. These shadow files are then harvested by an internet search engine (harvest) and the metadata indexed into one centralized index. (This centralized index  is, in turn, gathered into the wider "MPRESS" index.)

Currently, 16 French department servers collaborate in  the project. More should soon join. Metadata for theses and preprints can also be input (by individuals who do not yet have a well organized department server) directly onto the MDC web server.

In EULER, MDC is associated to two important mathematical libraries: Orsay and Strasbourg. The task assigned to MDC was to put the preprints from these 2 institutions into EULER. Unlike most mathematical departments in France,  the preprint servers of Orsay and Strasbourg are managed by the library staff, thus facilitating  close collaboration with MDC.

Orsay has online preprints since 1995, with corresponding html shadow files. Since 1998 the shadow files contain metadata. Strasbourg has online preprints since 1994 also with shadow files. Since 1998 the shadow files contain metadata.

The first task of MDC was to see that correct metadata was produced by these institutions prior to its harvesting and conversion for EULER.

At first metadata for only these two institutions was extracted from the national index, and converted to EULER format. Currently metadata for 150 preprints is available from Orsay, and 120 from Strasbourg, with an annual growth of about 60 for each institution. Secondly, (slightly less good quality) metadata from all participating institutions was extracted from the french national index and converted where possible  to the EULER format. Currently metadata for 1471 online preprints has been added to EULER. This figure grows variably every month.

Searching the EULER system the end user has to bear in mind that bibliographic information of the preprints may be  duplicated. The Orsay and Strasbourg preprints are being put online and also catalogued into their OPAC. Slight differences in the metadata produced in these different ways may lead to undetected duplicate information.

3.3 SUB

The Niedersächsische Staats-und Universitätsbibliothek Göttingen  - called SUB in this deliverable - is responsible for collecting resources in the field of pure mathematics  in Germany (Sammelschwerpunkt Reine Mathematik 17.1 funded by the DFG.) This task comprises the collection of grey literature for pure mathematics, where research reports and preprints can be found (as the CWI SUB makes no distinction between research reports and preprints in this work package).

In 1998 within the Math-Bib-Net project  a preprint/research report server was built up at the Niedersächsische Staats-und Universitätsbibliothek Göttingen using the harvest technology after the creation of shadow files in MathNet DC: http://harvest.sub.uni-goettingen.de/Harvest/brokers/goepre/. Soon these data will be available in MPRESS.

Currently the preprint/research report server contains about 42.500 records. 45% of them were published in the eighties and 50% in the nineties. Publishers are mathematical faculties, research sponsors, institutions and organizations. About 53% of the sets contain information about the publication country, and from these sets 47% were published in Germany, but a lot of other countries are present with high amounts of preprints/research reports.

28% of all preprints/research reports have about 29.200 MSC codes. The classes appearing most frequent up to MSC class 60 are:

All preprints/research reports can be ordered online at the document delivery service of SUB,  and can be delivered as online files via email.  To order most of the documents the user of the EULER service only needs to insert the personal data after following a link form the detailed result representation to a pre filled template.

4. Description of Method Used / Work Done

4.1 CWI

4.1.1 Conversion
The CWI reports appear in CWI's databases in duplicate: each report has one entry in the on-line reports database, and one in the OPAC. The on-line database contains abstracts and URLs, the OPAC does not. Both types of entry are currently converted and served for EULER. In this deliverable, we discuss only the conversion from the on-line database.
A conversion script for reports was already available at CWI. This produced numerous output formats, among which DIENST Lite (BIBS.refer format). We added a conversion to RFC1807, the standard format for DIENST/NCSTRL; this intermediate conversion step is optional and beyond the scope of this deliverable to specify in detail. This conversion to RFC1807 is hence regularly updated and needed no further work.
One single program cwiconv is subsequently used to translate record files from both the OPAC and RFC1807 files. The conversion for RFC1807 is slightly specific to the CWI database in that it automatically fills in some publisher information; otherwise, it can in principle be used to convert other RFC1807 databases. We recommend it be used for that purpose, to guarantee uniformity of data within future, larger EULER consortia. The source code is not part of this deliverable, but available freely for use within EULER.

The same cwiconv program is used to generate the pages with local information from the CWI library that are shown when the user clicks a link on the full record view, and also for other purposes (such as import in CWI's experimental web OPAC).

After the conversion from RFC1807 to the standard EULER record format, the records are post processed by the ISO tool, and then indexed by Zebra using the `one large file' method.

The table in Annex A.1 shows, on a field-by-field basis, how the conversion from RFC1807 to EULER XML format was done.
4.1.2 Implementation
The conversion and adaptation program was written in the C programming language.
4.1.3 Description of the Final Data set
The 'final data set' from January 2000 contains 984 CWI preprints. The full texts of these preprints can all be downloaded online. In the table in Annex A.3 the distribution of the EULER fields among the records is shown.

4.2 MDC

4.2.1 Conversion
For the French grey literature index the metadata gathered is dealt with by special software, based on MDC's "EDBM" database manager. (This is done independently of the EULER project, in order to improve the quality of the index for consultation via the web.) One program then extracts and converts preprint metadata from EDBM to EULER.
4.2.2 Implementation
EDBM is software initially developed by MDC for online access to the Zentralblatt Math Database. The "EDBM to EULER" converter is written in python.
4.2.3 Description of the Final Data set
The final data set contains, concerning Strasbourg and Orsay, all the possible fields (for online documents) required by EULER. Concerning the other mathematics institutions, the metadata quantity/quality is more variable.

In the table in Annex A.3 the distribution of the EULER fields among the records is shown.

4.3 SUB

4.3.1 Conversion
The process from the PICA catalogue records to an indexed file for the EULER service includes 6 different steps:
 
1.  extracting the PICA identifiers from the preprint server
2.   downloads from the GBV union catalogue
3.  diacritics processing (according to the ISO tool)
4.  PICA+/3 to EULER conversion program
5.  EULER ISO tool
6.  indexing of the file (Z39.50/Zebra server)
From the preprint server downloads PICA identifiers were extracted, and the referring records were downloaded by the GBV from the PICA system in the original character set. Through a Perl program the original PICA character set was converted into Latin-1 characters and in TeX entries, which can be handled by the EULER ISO tool. Another Perl program was used to convert from the PICA format into the EULER Dublin Core representation (see also D2.2).
For details to the PICA3/+ to EULER mapping and samples for the converted records see Annex A.1.
The diacritics and PICA+/3 programs were specifically developed for EULER; they are written in Perl and are executable under a LINUX system. In some places the code for PICA+/3 program is complicated, because for some EULER fields the information has to be extracted from more than one PICA category, compared and rebuild.  In some cases it was not possible to avoid double entries by applying the mapping from PICA to EULER DC, so in the conversion program a routine was implemented which makes every set in the EULER format unique.
After the conversion the ISO tool was used to create the IDE entry and alternative entries, and the data were indexed and submitted to the EULER Zebra server at Göttingen.
To realize the automatic pre filled document delivery service for the EULER users two additional programs were written in Perl under LINUX (the first program puts the information from the coded URL (EULER DI field) in the EULER document delivery template at SUB, and the second program sends an email to the ordering service after the user has clicked on the send button).
4.3.2 Implementation
See the previous subchapter.
4.3.3 Description of the Final Data set
The 'final data set' from February 2000 contains 42.451 items for the EULER system, which can be ordered online at the document delivery service at SUB.
The table in Annex A.3 shows the distribution of EULER fields among the records.

5. Tests with MPRESS and with LANL (arXiv.org e-Print archive)

5.1 MPRESS
MPRESS is an index currently compiled in Osnabrück (DE) from many different distributed harvest systems in Germany, France, Austria, Italy, and elsewhere. MPRESS contains records with and without metadata. We have chosen to convert only records with metadata for euler. As the metadata are harvested on very many different department servers, the quality is variable. Syntax checking and cleaning up has been done for as many cases as possible.
Conversion from MPRESS to EULER is done in 2 steps:

- Extraction of data from the MPRESS harvest broker to an intermediate file
- Conversion of this file to the euler XML format.

The converted file is then processed by "iso" and indexed using the "one big file" method. Both extraction and conversion programs are written in perl. The Zebra server has been installed in Osnabrück at end January 2000. Measures will be taken to avoid all duplicate information coming from the MDC national index when the MPRESS zebra server is fully operational.

5.2 LANL
The arXiv.org e-Print server from Los Alamos National Laboratories (LANL) is making its preprint data available in RFC1807 format, the standard format for DIENST/NCSTRL. As outlined in sub chapter 4.1.1, CWI is supplying preprint data to NCSTRL in RFC1807 format. For the purpose of EULER these data are subsequently converted from RFC1807 to the EULER format.
CWI has taken this opportunity to carry out some successful tests with importing preprint data from LANL by using the CWI conversion program cwiconv.

6. Unresolved Points

CWI:
Many titles of CWI reports/preprints contain mathematical formulae. These formulae have been translated to the LaTeX typesetting language in order to keep this mathematical information. Although many scientists are able to read and understand these LaTeX encodings, a graphical display could still be desirable. This has not been explored in the context of the EULER project.

SUB:
For the database of SUB some old downloads were used, so problems with some special characters occurred (e.g. Universit\d{\d{}}a instead of Universität; Kbenhavn instead of København) and old information about the status of the document delivery system can be found.  These problems will be eliminated after the installation of an update mechanism (for more details on the update process see D2.2 of the EULER project).

7. Conclusions

Through the work in Task 2.3 Preprint Servers and Research Reports, it has been shown, that preprint and research report information from different organizational set-ups can be adapted to match the common EULER format. Data from the CWI ftp preprint/research report server, data harvested by MDC from Strasbourg and Orsay, and data from the SUB preprint/research report server have been converted by programs specially written for the purpose by each partner in this task.

It is expected that the EULER system will be able to incorporate other preprint and research report resources, as long as these are in conformity with the EULER format specifications.

For the purpose of proof-of-concept, trials with importing data from MPRESS have been carried out, that are promising for the possibility of extending the resources of EULER.

Also some small successful tests were carried out with importing data from the Los Alamos Preprint Server by using the CWI program, that converts data from the RFC1807 format to the EULER format.

8. Recommendations

CWI:
As mentioned in chapter 6, no attempt has been made in the context of the EULER project to graphically display mathematical formulae. The exploration of the use of MathML encodings of these formulae might however be considered in the future. Although there a some LaTeX to MathML translators publicly available (see:  MathML Resource List ), these seem still under development. The use of MathML also necessitates MathML awareness of the browser.

SUB:
Concerning the task of building up a preprint server, the first idea was to convert the shadow files from MathNet DC to EULER DC.  To achieve this aim SUB has compiled mapping between the MPRESS and EULER DC. These mappings were recommended for the integration of the MPRESS data,  but after the work done for D2.3 a detailed analysis of information losses and problems in the diacritics is recommended, if there are other formats (e.g. PICA) or DC schemes available.  For more recommendations see D22 (they refer mainly to printed literature).
